Description
Weekly executive board meetings help keep the chapter organized and make sure information is conveyed to initiates and general members in a timely manner. This also provides a chance for different positions to collaborate on events and to prepare for all-chapter activities such as general meetings.

Preparation & Administration
- Pick a weekly time that works for all executive board members to meet. (Fair warning, if your executive board has more than 10 people, this can be difficult).
- If your chapter does not have a designated space, find a location to meet and reserve a room if necessary.
- Set up a weekly agenda that officers add updates to before the meeting so that the meeting is efficient and can be completed within the hour.
Additional Notes & Resources
- Meetings before important events (info sessions, initiation, etc.) may run longer than an hour
- A simple sample of Illinois Alpha’s meeting agenda is below
- Min 0-20: Full chapter business (upcoming events, initiation progress, general meetings, etc.)
- Initial agenda outline typically written by the President, sometimes in collaboration with the Executive Vice President
- Min 20-50: Individual officer updates (~3 minutes each for 11 officers)
- We have our officers go in the order listed in our bylaws, President, Executive Vice President, Treasurer, Corresponding Secretary, etc.
- Min 50-60: Assisting our Recording Secretary in preparing weekly newsletter to be sent out the next morning.
- Min 0-20: Full chapter business (upcoming events, initiation progress, general meetings, etc.)
